Introduction
This privacy policy explains what information Rondout Environmental collects through this website and when you ask us for an inspection, why we collect it, and what we do with it.
Information we collect
Information you give us. When you request a quote, book an inspection, or contact us, we collect the information you provide. That typically includes your name, email address, phone number, the service you need and why, how soon you need it, the property's address, the town and type of property, the number of units and the year built if you know them, whether someone else will give us access to the property, anything you write in a message field, and which text message consents you gave, if any.
Information collected automatically. When you visit the site we collect pages viewed, the site or ad that referred you, approximate location based on IP address, device and browser information, and campaign tracking parameters (UTM tags) attached to links you arrive through.
Information from inspections. When we inspect a property, we collect the property and access details, and the scope, observations, photographs, sample IDs, and laboratory results that go into your report.
We do not collect payment information through this website.

Communications: calls, text messages, and email
Phone and email. When you give us your phone number or email address, you consent to our contacting you about your request and your inspection by phone and by email. These communications may include appointment scheduling and reminders, inspection and report updates, quotes, follow-ups, and customer support.
Text messages are separate, and they are optional. We text you only if you ask us to. The form offers one text message consent, with its own box that is never ticked for you: texts about your inquiry and appointment scheduling. We do not send marketing texts.
The box is not required to submit the form, to get a reply, to book an inspection, or to become a customer. Submitting the form is not by itself consent to be texted.
SMS terms. Message frequency varies based on your interaction with us. Message and data rates may apply. You can opt out at any time by replying STOP to any message. Reply HELP for assistance, or contact us at the phone number below. We do not send unsolicited messages, and we text only people who have given consent for that kind of message.
We do not share your SMS consent or your phone number with third parties for their own marketing, and we do not sell or rent either.
How you opt in. By ticking the text message box on a form on this website, or by telling us during a phone or in-person conversation that we may text you. A box is never ticked for you.
What we record. When you tick the box, we store the consent you gave, the exact wording shown to you at the time, the date and time, and the page you were on, and we send those to our customer relationship system (GoHighLevel) with your request. That record is our proof of what you agreed to. If you leave the box unticked, we record no text message consent for you.
How you opt out. Reply STOP to any text message to stop texts from us. Use the unsubscribe link in any marketing email to stop marketing email. You may also contact us directly. Opting out of texts does not stop us reaching you by phone or email about an inspection already scheduled or underway.
Carrier liability and age restriction
Carriers are not liable for delayed or undelivered messages.
You must be 18 years of age or older to use this SMS service.
AI tools
We use AI tools to help us read and reply to messages promptly. What you send us through this website, by email, or by text may be processed by those tools for that purpose.
Service providers
We do not sell or rent your personal information, and we do not share it with third parties for their own marketing.
We share information with providers who help us operate the business:
- GoHighLevel: customer relationship management, appointment booking, text and email messaging, and website chat
- Cloudflare: website hosting, security, and bot protection (including Turnstile), which processes technical information such as IP address to distinguish visitors from automated traffic
- Accredited laboratories: which analyze the samples we collect, identified by sample ID
- Google Maps: the map on our contact page. Google may set cookies when the map loads
- Analytics, advertising, and engagement tools: we may use one or more tools in the following categories, including but not limited to those named here: website analytics (Google Analytics 4, Google Tag Manager, Microsoft Clarity, Cloudflare Web Analytics); advertising and conversion measurement (Meta, covering Facebook and Instagram; Pinterest; Google Ads); session replay and heatmaps; and email and text message engagement tracking through our customer relationship system (GoHighLevel). We may add, change, or stop using tools in these categories at any time.
We share your report only with you and anyone you authorize in writing, and when the law requires it.
We may also share information where required by law, to protect our rights, or in connection with a sale or transfer of the business.
Cookies and tracking
This website uses cookies and similar technologies for basic functionality and to understand how the site is used. We may also use them to measure advertising and show relevant ads on other platforms. Most browsers let you refuse cookies or alert you when they are set; some site features may not work correctly if you do.
Information collected by analytics and advertising tools is kept for no longer than one year. You can limit what these tools collect through your browser and device settings, and through the platform and industry opt-out controls described under Advertising below.
Advertising
We may advertise on search engines and social platforms, and we may use those platforms' measurement and retargeting tools to see which advertising leads to inquiries and to show our ads to people who have visited this site. Data collected for that purpose is kept for no longer than one year.
Each of those platforms offers its own ad and data controls in your account settings there. You can also limit interest-based advertising through your browser and device settings and through the industry opt-out pages at optout.aboutads.info and optout.networkadvertising.org.
Third-party links
This site links to other websites, including the government and standards sources it cites. We don't control those sites and aren't responsible for their privacy practices. Review their policies directly.
Your choices and rights
You may ask us to tell you what personal information we hold about you, to correct it, or to delete it. You may opt out of marketing communications at any time. To do any of those, contact us using the details below and tell us what you want; we may need to confirm who you are before we act.
We will respond within the time applicable law allows, and within 45 days where no other period applies. Exercising these rights costs nothing and we will not treat you differently for asking. Depending on where you live, you may have further rights under your state's law; we honor those as well.
How long we keep information
We keep information for as long as needed to respond to your request, complete your inspection and report, and meet our business, legal, and accounting obligations, up to seven years. We delete it sooner at your request, unless we are required to keep it longer.
Information collected by website analytics and advertising tools is kept for no longer than one year.
Security
We use appropriate collection, storage, and processing practices and security measures to protect against unauthorized access, alteration, disclosure, or destruction of personal information. No system is completely secure, and we cannot promise that any system is.
Children
This website is not directed to children under 13, and we do not knowingly collect personal information from them.
Changes to this policy
We may update this policy at any time. Updates are posted here with a revised effective date. Continued use of the site after changes are posted means you accept them.
